"Should we do an open bar?" is one of the biggest budget questions in wedding planning. Here's what each option actually means, what it costs, and how your guests will feel about it.

Open Bar — everything is free to guests

The gold standard. Guests order whatever they want at no charge; you cover 100% of the alcohol and bartending. For a 100-guest, 5-hour wedding in Rochester, Buffalo or Syracuse, budget $2,200–$4,500 all-in depending on tier.

Pros

• Best guest experience by a wide margin
• No line at the ATM, no awkward small talk about who's paying
• Photographers love it — happier crowd, better dance floor

Cons

• Highest total cost
• Can encourage over-consumption unless bartenders pace pours

Cash Bar — guests pay per drink

Guests buy their own drinks. You pay only the bartender labor (typically $400–$1,200 for staffing and bar setup). Common in some regions, but widely considered a faux pas at weddings in the Northeast — including all of Western NY.

Limited Bar — the smart middle

The most common package we run in Rochester, Buffalo and Syracuse. You cover a curated selection — usually beer, wine and 2 signature cocktails — and everything on that menu is free. Guests can still order off-menu but pay for it themselves.

Beer & Wine Only — the budget-savvy choice

Skip the liquor entirely. For a 100-guest 5-hour reception, expect $1,100–$2,000 all-in. Guests barely notice at cocktail-hour weddings; they notice more at late-night receptions.
